Boost Productivity with NFC Attendance System in Warehouses

TAPiTAG Check-In PLUS | Staff & Guest Check-In System

An NFC attendance system can make warehouse arrivals and departures easier to record, particularly where staff, agency workers and contractors use defined entrances. TAPiTAG Check-In combines NFC and QR Check-In Points with a browser-based workflow and a central dashboard. It can show who is currently recorded as checked in, where they arrived and when they checked in, without requiring a dedicated TAPiTAG app or attendance terminal.

That does not mean every warehouse should replace its existing clocking system. The right choice depends on shift volume, connectivity, phone policies, the people who need to check in and whether the business needs attendance visibility or payroll-grade timekeeping.

What is an NFC warehouse attendance system?

NFC stands for Near Field Communication. A worker holds a compatible smartphone close to an NFC Check-In Point to open the linked attendance page. A QR code provides a second route: the worker scans it with their phone camera and opens the same workflow.

With TAPiTAG Check-In, the person completes the required check-in or check-out steps in their browser. The interaction is added to the management dashboard, where authorised users can view current attendance and search, filter or export records.

Where can NFC and QR check-in help a warehouse?

A fixed Check-In Point can suit a warehouse that wants a consistent arrival process without installing a powered terminal at every entrance. It may be particularly relevant when:

  • staff arrive through one or more defined pedestrian entrances;
  • agency or temporary workers need a process that does not depend on installing an employee app;
  • contractors and visitors need to be recorded alongside permanent staff;
  • managers need a live view of people currently recorded as on site;
  • several warehouses or departments need to feed into one dashboard; or
  • attendance records need to be searched or exported for internal administration.

The benefit is operational visibility, not a guaranteed productivity increase. A check-in system is only useful when people use it consistently and the process fits the site.

How TAPiTAG warehouse check-in works

  1. Place the Check-In Point: Position it where staff or other authorised groups normally enter and leave.
  2. Tap or scan: The user taps with a compatible smartphone or scans the QR code.
  3. Complete check-in: The attendance page opens in the browser and collects the information required by the organisation.
  4. View the record: The dashboard shows the new attendance interaction and the connected location.
  5. Check out: The user repeats the process when leaving so the active attendance view remains useful.

No dedicated TAPiTAG app is required. The Check-In Points are configured and connected to the customer’s dashboard before dispatch.

Warehouse suitability checklist

Question Why it matters
Who needs to check in? Staff-only requirements differ from workflows that also include guests and contractors.
How many people arrive at once? A very high-volume shift change may suit a dedicated card, fob or biometric terminal better than a phone-based process.
Can workers use phones at the entrance? If phones are stored before work, place the Check-In Point before the storage area or consider another method.
Is mobile data or Wi-Fi reliable? The browser-based workflow needs a usable connection where people tap or scan.
Do you need payroll calculations? Attendance records alone may not cover breaks, approved overtime, shift premiums or payroll corrections.
How many entrances and sites are involved? Each regular arrival route may need its own clearly labelled Check-In Point.
Who handles exceptions? Assign responsibility for forgotten check-outs, incorrect records and people who cannot use the normal workflow.

Choose the plan around the people entering the warehouse

TAPiTAG currently separates its Check-In service into three levels. Capacity and pricing vary by package, so confirm the current details before ordering.

Plan Best fit Current distinction
Standard Employee attendance Staff check-in and check-out, live on-site view, searchable records and export tools
PLUS Staff and guests Adds guest check-in, visit records, host selection and guest-arrival notifications
PRO Staff, guests and contractors Adds contractor attendance, unlimited active staff profiles, advanced analytics and additional check-out controls

A warehouse that records only employees may not need PRO. A site that regularly manages maintenance contractors, temporary specialists and visitors may need the broader workflow.

How to roll out warehouse check-in

  1. Map the current arrival process. List each staff, agency, visitor and contractor entrance, along with the people responsible for those areas.
  2. Define the record you need. Decide which details should be collected and who is authorised to review or export them.
  3. Test the physical location. Check visibility, lighting, mobile data, Wi-Fi and whether queues could obstruct a walkway.
  4. Prepare an exception process. Decide what happens when somebody forgets to check out, has no suitable phone or creates an incorrect record.
  5. Pilot one shift or entrance. Observe the real process before extending it across departments or warehouses.
  6. Explain the purpose. Tell workers what the system records, how the information is used and where to get help.

What warehouse attendance data does not prove

A check-in at 05:58 and check-out at 14:10 records two attendance interactions. It does not independently prove that the person worked continuously between those times, took the correct breaks or qualified for overtime.

TAPiTAG Check-In is also not a door-access control system. It records attendance; it does not decide whether a person is authorised to unlock an entrance. Its live view can help an authorised manager understand who is recorded as present, but it should not replace the warehouse’s formal evacuation, roll-call or emergency procedures.

Hypothetical warehouse example

Consider a warehouse with a main staff entrance and a separate contractor gate. Permanent and agency staff use the main Check-In Point, while engineers and other contractors use a second point connected to the same dashboard. Management can review the location associated with each attendance interaction.

This is a hypothetical configuration, not a customer result. Whether it is appropriate depends on arrival volumes, connectivity, phone rules and the organisation’s attendance requirements.

Frequently asked questions

Do warehouse staff need to download an app?

No. With TAPiTAG Check-In, staff use a compatible smartphone to tap the NFC Check-In Point or scan its QR code. The workflow opens in the phone’s browser.

Can the same system record contractors?

Yes, with the appropriate plan. TAPiTAG Check-In PRO includes staff, guest and contractor check-in and check-out.

Can managers see who is currently on site?

The dashboard provides a live view of people currently recorded as checked in. Its accuracy depends on people completing both check-in and check-out correctly, together with any automatic check-out settings in use.

Does TAPiTAG calculate warehouse payroll?

TAPiTAG provides attendance records and export tools, but businesses should confirm whether their wider payroll process can handle breaks, overtime, approvals and other pay rules. Do not assume a check-in record is automatically payroll-ready.

Can TAPiTAG be used across several warehouses?

Yes. Connected Check-In Points can be placed across warehouses, departments and sites and managed from one central dashboard.
