NFC Check-In Solutions for Cleaning, Deliveries and Staff

NFC check-in solutions for businesses

Businesses are increasingly replacing paper sign-in sheets and manual checklists with simple digital check-in systems. TAPiTAG combines custom NFC and QR tags with our own check-in software, allowing a member of staff, cleaner, contractor or delivery driver to record an activity in seconds.

The user taps the tag or scans its QR code, completes the required check-in and submits the information. TAPiTAG records the submission against the relevant tag and location, creating a digital record for the business. No special scanner or dedicated app is required.

The system can be configured for a small number of branded cleaning tags or scaled to individually encoded and mapped tags across multiple properties, venues or operational sites.

What is an NFC check-in system?

NFC stands for Near Field Communication. It is the technology that allows a smartphone to exchange information with an NFC tag when the phone is held close to it.

For a TAPiTAG check-in solution, each physical tag is assigned to a particular location, task or asset. When it is tapped or scanned, it opens the appropriate TAPiTAG check-in page.

The page can be configured as:

  • A cleaning or inspection checklist

  • A staff or contractor check-in

  • A delivery or collection confirmation

  • A property or maintenance visit

  • A security or facilities check

  • Another location-based workflow

The person can enter the information required for that workflow, such as their name or employee number, the task completed, an issue found or additional notes. The submission is then recorded through TAPiTAG’s software against the correct tag and location.

NFC cleaning tags for toilets and shared facilities

One of the most useful applications is a digital cleaning log.

Instead of signing a paper sheet, the cleaner completes the work and then taps or scans the tag to open the correct TAPiTAG cleaning form. The software can record details such as:

  • Cleaner’s name or employee number

  • Date and time

  • Area cleaned

  • Tasks completed

  • Supplies that need replenishment

  • Faults, damage or maintenance issues

  • Additional notes or photographs

Each toilet, room or facility can have its own uniquely programmed tag. For example, a venue could use separate tags for the male and female toilets at each premises. Every tag opens the correct TAPiTAG form automatically, reducing the chance of information being recorded against the wrong location. The venue name and individual location can also be included, along with the company’s colours and logo.

Check-ins for delivery drivers and mobile teams

NFC tags are also useful where drivers, technicians or mobile workers need to confirm that they have reached a particular destination.

A tag installed at a collection point, delivery location, warehouse, property or customer site can open a unique check-in page. This can help a business record:

  • Arrival at a site

  • Collection or delivery confirmation

  • Which entrance, bay or collection point was used

  • Vehicle or driver details

  • Completion of a scheduled visit

  • An issue reported at the location

Different tags at the same premises can have different identifiers. This allows the customer’s system to distinguish between separate entrances, service points or work areas.

It is important to be precise about what this provides: a tap or form submission records an interaction or confirmation. On its own, it does not prove that a cleaning, delivery or inspection was completed correctly. Businesses can strengthen the process with required form fields, photographs, staff authentication, timestamps and their own operational checks.

Staff, contractor and property check-ins

The same approach can be adapted for many other workflows, including:

  • Staff arrival and departure

  • Contractor attendance

  • Security patrols

  • Property inspections

  • Maintenance visits

  • Equipment checks

  • Fire-safety checks

  • Hotel housekeeping

  • Caretaking and facilities management

  • Event and venue operations

Because every NFC tag can be linked to a different destination or carry a unique identifier, the system can be organised by property, room, vehicle, asset or task.

Why include a QR code as well as NFC?

Most modern smartphones can read NFC tags, but including a QR code gives users a familiar alternative.

Both the NFC chip and QR code can open the same destination, creating a straightforward instruction: tap or scan to check in.

This dual approach is particularly helpful for public-facing locations, mixed mobile-device environments and teams that are not yet familiar with NFC.

One TAPiTAG system for the tags and the records

The physical tag is only one part of the solution. TAPiTAG can also provide the software that collects and records the check-in information.

This gives the business one joined-up system:

  1. TAPiTAG creates and programs the NFC/QR tags.

  2. Each tag is assigned to the correct venue, room, property, vehicle or work area.

  3. The user taps or scans the tag.

  4. The TAPiTAG check-in page asks for the required information.

  5. TAPiTAG records the submission against the relevant location.

The information collected can be tailored to the use case. A cleaning check might ask different questions from a delivery confirmation or contractor visit.

Because the software and tags are supplied as one solution, customers do not need to build their own form or work out how to map every physical tag to the correct location.

Branded multi-location and enterprise solutions

Each tag can be printed for a specific venue, room, property or vehicle and connected to the appropriate record within TAPiTAG’s software. Tags can be individually mapped, labelled, quality-checked and organised for distribution across multiple sites.

Where a larger organisation already has its own platform, TAPiTAG can also discuss a custom integration using customer-supplied web links, app links or unique identifiers. However, for most enquiries, the complete TAPiTAG tag-and-software solution is the simplest place to start.

Custom NFC tags made for the location

The correct tag depends on where it will be installed. Options can include:

  • Custom printed round PVC tags

  • Different sizes, including highly visible 120mm tags

  • Adhesive-backed tags for walls and other surfaces

  • On-metal NFC tags for suitable metal installations

  • NFC and QR codes programmed to the same destination

  • Unique URLs or identifiers for every tag

  • Printed location names or reference numbers

  • Customer branding, instructions and logos

For installations exposed to water, chemicals, impact or outdoor conditions, the intended environment should be discussed before production so that the appropriate material and fixing method can be selected.

Unique tag mapping and traceability

In a multi-site deployment, it is essential to know which physical tag belongs to which location.

TAPiTAG can prepare a mapping file containing the tag reference, printed identifier and assigned digital destination. A visible identifier can also be printed on the tag to make support and replacement easier.

Before a production run is completed, customers can approve the artwork and confirm the destination assigned to each tag. Depending on the security requirements, tags can also be write-protected after final testing to prevent accidental or unauthorised changes.

If write protection is required, the final URLs and complete user journey should be tested before the tags are locked, as a permanently locked tag cannot simply be rewritten later.

Benefits of an NFC check-in solution

For the business, the main advantages include:

  • Faster check-ins and record keeping

  • Less reliance on paper sheets

  • A consistent process across multiple locations

  • Location-specific digital forms

  • Clearer operational records

  • TAPiTAG software to collect and record submissions

  • Physical tags and software supplied as one solution

  • No dedicated reader or scanner

  • No dedicated app required for the user

  • Custom branding and instructions

  • Scalable production for larger rollouts

The result is a simple physical action—a tap or scan—that connects staff with the correct digital process at the point where the work takes place.

Planning your NFC check-in project

To recommend the right setup, we normally need:

  1. The number of tags required

  2. The locations or tasks each tag will represent

  3. The information that needs to be recorded

  4. Whether each location requires a different form or workflow

  5. The installation surface and environment

  6. The preferred tag size and material

  7. The artwork, logo and wording required

  8. Whether a QR code is also needed

  9. Any printed serial number or location identifier

  10. Any existing system or integration requirements

TAPiTAG can then advise on the software setup, tag type, artwork, programming, mapping, testing and production process.
