It is 6.42pm on a Tuesday.

Most of the office staff have gone home. Reception is closed. A cleaner lets themselves into the building, disarms the alarm, goes to the cleaning cupboard and starts their evening shift.

Somewhere along the way, they sign a sheet.

The office calls the area supervisor.

The cleaner says they were there.

The paper sheet usually looks perfectly adequate until somebody actually needs the information on it.

EU guidance requires organisations processing personal data to provide this kind of information to individuals.

Think carefully about location data

There is a meaningful privacy difference between:

“Jane checked in at Site A at 18:05”

and

“Jane's phone was tracked continuously between 18:05 and 20:10.”

The Irish Data Protection Commission identifies location information linked to an identifiable individual as personal data and, in its employer vehicle-tracking guidance, warns against treating location tracking as a general tool for monitoring employee behaviour.

That does not make GPS-based attendance inherently wrong.

It means the level of tracking should match the purpose.

Photos require thought too

A check-in photograph is also personal data where the person is identifiable.
